Information we collect

At signup we collect your name, email address, phone number, business name, trade, and accounting software preference.

When providing the invoice follow-up service, we may access debtor names, phone numbers, invoice numbers, invoice amounts, and invoice dates from your accounting software or from information you provide to us.

How we use information

We use your business and contact details to create and manage your TradeFlow account, communicate with you, provide support, and bill for the service.

We use debtor and invoice information only to provide the invoice follow-up calling service you have requested.

Who can access it

Personal information is available only to TradeFlow staff who need it to make calls, manage accounts, provide support, or meet legal obligations.

We do not sell personal information.

Service providers

We use Google Analytics 4 (G-T5C9660XDF), Microsoft Clarity for session recording and heatmaps, and the Ahrefs analytics pixel to understand website performance and improve the site.

We use Resend to send transactional and account-related email.

Retention

We keep account data while your account is active. After cancellation, account data is deleted within 30 days unless we are required to keep it for legal, billing, dispute, or fraud-prevention reasons.

Call records, notes, and related service records are retained for 12 months after an account closes. Financial records are retained for 7 years as required by New Zealand law.

Your rights

Under the New Zealand Privacy Act 2020, you can request access to personal information we hold about you, ask us to correct it, or request deletion where legally permissible.
